Job Description

A prestigious law firm is seeking a self-motivated and experienced Executive Assistant to join their New York office. The successful candidate will provide administrative support to attorneys across various practice areas within litigation, ensuring smooth operations and efficient time management.

Schedule: On-site, Monday through Friday

Salary: $100-130K base plus bonus and paid OT

Hours: 9am-6pm

Responsibilities:

  • Manage complex calendars, scheduling meetings, coordinating calls, and acting as a gatekeeper for the attorneys' time
  • Coordinate complex travel arrangements, including multi-leg trips and accommodations
  • Answer calls, take detailed messages, and route correspondence, ensuring effective communication
  • Collaborate with other administrative assistants to schedule meetings, ensuring all requirements (e.g., presentation tools, communication devices, refreshments) are anticipated and managed
  • Prepare expense reports and assist with billing and timekeeping
  • Sort, distribute, and track communications in a timely manner
  • Manage special projects and assist with ad-hoc tasks as needed
  • Act as backup support for other executive assistants during high-demand periods

Requirements:

  • Minimum of 3 years of experience in an administrative role, preferably within a law firm or professional services environment
  • Bachelor’s degree preferred
  • Excellent communication skills, both written and verbal, with high attention to detail
  • Strong organizational and time management skills, with the ability to prioritize tasks under pressure
  • Proficiency in MS Office (Word, Excel, Outlook) and timekeeping software
  • Ability to maintain confidentiality and exercise sound judgment in sensitive situations
  • Strong interpersonal skills with the ability to work well under pressure and in a fast-paced environment
