Executive Assistant to CEO – Private Jet Company

Location: Palm Beach, FL (In office with potential for hybrid)

Compensation: Up to $150,000 (depending on experience)

Employment Type: Temp-to-Perm (3-month trial period)

GSM Virtual Assistants is seeking an exceptional Executive Assistant to support the CEO of a high-profile Private Jet Company . This role is a direct hire with the firm and requires a proactive, highly organized professional who thrives in a fast-paced, high-touch environment.

We are looking for an Executive Business Partner , not just an EA—someone who treats the business as their own, ensuring efficiency, organization, and seamless operations. The CEO needs an assertive, sharp, and detail-oriented right hand to manage high-stakes responsibilities, liaise with ultra-high-net-worth clients, and maintain control over a demanding schedule.

This role requires a strong personality —a professional who is calm under pressure, confident, thick-skinned, and able to deliver instant results . The CEO expects responsiveness and high-level execution at all times.

• Executive Support & Business Partnership
• Heavy calendar management and scheduling for the CEO.
• Full travel coordination , including commercial and private plane bookings.
• Inbox management – responding to high-priority emails and client communications.
• Expense reconciliation and financial tracking.
• Coordinating restaurant reservations and other personal logistics.
• Client & Business Management
• Acting as the CEO’s liaison with high-net-worth clients.
• Ensuring seamless communication between the CEO and key stakeholders.
• Handling sensitive and high-value client interactions with discretion.
• Flexibility & Availability
• While this is not a 24/7 role , during 8 peak weeks per year , availability for after-hours calls (especially for international charter clients) is required.
• The rest of the year, hours remain more structured.

• Highly responsive, fast-thinking, and results-driven – the CEO expects immediate action, acting as if you were him when he is unavailable.
• Detail-obsessed – nothing slips through the cracks.
• Thick-skinned, calm, and composed – able to handle high expectations without stress.
• Energetic and assertive – someone who can keep up with a fast-moving executive.
• A go-getter and problem solver – anticipates needs before they arise.
• Experience dealing with ultra-high-net-worth individuals and their demands.
• Not anxious, but confident and reassuring.

✔ Previous experience as an EA to a senior executive (CEO-level preferred)

✔ Experience booking private jets and handling complex travel itineraries

✔ Expert-level calendar and inbox management

✔ Based in Palm Beach, FL, with the ability to be in-office

✔ Strong client-facing skills and discretion with confidential information

✔ High-level organizational and multitasking abilities

✔ Ability to transition from a temporary role to a permanent one after 3 months
